Use task labels to monitor task status

[Part 2 of a two-part post]

Last week, we talked about using task labels to add contextual information to tasks, which can help you organize your time better and maximize your productivity.

This week, we’ll be talking about a specific kind of contextual labeling—task status. Being able to track and manage the status of your tasks is essential to getting things done, and it’s a complex issue.

For example, let’s say you have a task—“Call Andy”—due today. You call Andy, but he can’t help you right now and he asks you to call him back later to continue the conversation.

Technically, the task is completed—you did call Andy—but in reality, it’s still in progress. You could add a note to the task and postpone the deadline to tomorrow, but then that task will “disappear” until tomorrow’s deadline. In the meantime, if you want to remind yourself which tasks are still in progress, you’ll have to click on each one individually to read the notes.

Labels solve this problem and give you an awesome tool to monitor the status of a task.

You can create labels such as @in_progress, @delegated, @waiting and much more – there’s no limit on how many labels you can have. One click on the @in_progress label and you see a complete list of tasks that might have been started, but haven’t been completely finished. Nothing gets missed and you don’t have to search through all projects for tasks with a certain status anymore. If you work on team projects, you can add labels such as @delegatedDavid and @delegatedAllan, so you can quickly see at a glance the tasks that require a specific team member’s input

With Todoist Premium, you can make each label more distinguishable by color-coding it in the label overview:

Another great feature is the auto-complete function, which makes adding context and status labels even quicker. The moment you start typing @in – the auto-complete function will find all labels that start with these letters, and you can just hit Enter to add the one you need.

Managing tasks can get messy. If you’re a busy, productive individual working on multiple projects, not everything on your to-do list is going to get checked off neatly. There will be delays and unexpected developments along the way. But with Todoist labels, you have a way to untangle the mess and track and manage the status of your tasks easily.
